With this privacy policy we inform you about the processing of personal data when participating in webinars & online training courses.

1. responsible persons

We, WEKA Industrie Medien, regularly organise webinars in cooperation with our customers, for which we use the ClickMeeting platform. In this context, WEKA Industrie Medien acts as the controller within the meaning of the General Data Protection Regulation (GDPR). In this privacy policy, we inform you about the processing of your personal data in the context of our webinars.

2. purposes of processing your personal data and data categories

WEKA Industrie Medien uses the ClickMeeting software from the provider ClickMeeting Sp. z.o.o. for the organisation, implementation and follow-up of webinars (information events, customer information, round tables). In this context, ClickMeeting acts as our processor, with whom we have also concluded an agreement on order processing (in accordance with Art. 28 GDPR).

We collect and process the following personal data from persons who register for or participate in our webinars:

  • Information for webinar participantsFirst name, last name, e-mail address, company/organisation, position.
  • Connection and participation detailsTime of registration for the webinar, time of joining the webinar, time of leaving the webinar, duration of participation, web browser used and its version, device type, location.
  • Interaction dataWe record whether and in what way webinar participants have rated the webinar. If webinar participants use the chat, question or survey functions, the text entries sent by the respective person are processed by us in order to read them out in the webinar and log them. The questions asked by the webinar participants will only be transmitted to and read out by the presenter. The question and the identity of the person asking the question are not visible to the auditorium in written form. Webinar participants have the right to choose whether they wish to address their questions to the presenter anonymously or by revealing their identity. If questions have been asked that are answered as part of the follow-up to a webinar, the questions and the email addresses of the webinar participants will be processed in order to be able to answer them afterwards.
  • Organisational approvals: During registration, it is documented whether participants have accepted the General Terms and Conditions (GTCs) and the Privacy Policy and whether they have given their voluntary consent to the use of their data for other purposes.
  • When recording a webinar: Our webinars are recorded so that they can be viewed later on our YouTube channel (https://www.youtube.com/@WEKAIndustrieMedienTV) can be uploaded. This creates MP4 files of all video, audio and presentation recordings. As the webinar participants' cameras and microphones are deactivated, questions asked during the presentation/discussion as well as during the recording may be read out by the presenter.

Automated decision-making within the meaning of Art. 22 GDPR is not used.

3. legal basis of the processing

The processing of personal data in the context of ClickMeeting is based on the legal basis of the legitimate interest pursuant to Art. 6 para. 1 lit. f GDPR which consists of the organisation and implementation of webinars as well as the follow-up (e.g. answering questions afterwards) and further development of webinars (e.g. compiling statistics on webinar participants over time, effectiveness of and interest in webinars).

For fee-based webinars, the organisation and implementation of the webinar is Legal basis the fulfilment of the contract pursuant to Art. 6 para. 1 lit b GDPR.

4. data recipient

In connection with ClickMeeting, personal data may be passed on within WEKA Industrie Medien. Please note that it is not intended to pass on this data to third parties. If we conduct webinars together with other webinar organisers, which are visible in the respective invitations, the names and e-mail addresses, position and company affiliation of webinar participants will be passed on to them based on the legitimate interest of the respective webinar organisers. The respective webinar organisers are solely responsible for further processing.

5. transfer to third countries

Your personal data will not be transferred to third countries outside the European Union or the European Economic Area.

6. storage period

Personal data processed in connection with webinars will be stored for as long as necessary for the defined purposes, if necessary taking into account statutory retention periods. Subject to statutory retention periods, which may apply to paid webinars, personal data is generally stored for a period of two years after the respective webinar has been held.

If you are registered with ClickMeeting as a user:in, then reports on webinars may be stored at ClickMeeting, with LogMeIn Ireland Limited being responsible for this.

7. data subject rights

Data subjects (webinar participants) have the right to obtain information from the controller about the personal data concerning them and to have incorrect data corrected. In addition, there is a right to erasure if one of the reasons stated in Art. 17 GDPR applies, e.g. if the data is no longer required for the purposes pursued. There is also the right to restriction of processing if one of the conditions specified in Art. 18 GDPR applies and, in the cases of Art. 20 GDPR, the right to data portability. If data is collected on the basis of Art. 6 para. 1 lit. f (data processing to safeguard legitimate interests), the data subject has the right to object to the processing at any time for reasons arising from their particular situation. We will then no longer process the personal data unless there are demonstrably compelling legitimate grounds for the processing which override the interests, rights and freedoms of the data subject, or the processing serves the establishment, exercise or defence of legal claims. Please direct any enquiries to dsgvo@industriemedien.at.

If you send us an enquiry as a data subject, we are obliged to verify your identity. The type of proof of identity depends on the request. We will store your enquiry and our response for 13 months as proof that it has been processed in accordance with the law.

WEKA Industrie Medien is subject to supervision by the Austrian Data Protection Authority, which is also responsible for handling complaints.

8. right of cancellation for consent

As part of the webinars organised by us, you have the option of giving your consent to the further processing of your personal data. We would like to point out that you have the right to withdraw your consent at any time with immediate effect for the future. The revocation of your consent does not affect the legality of the processing carried out on the basis of the consent until the revocation. If you wish to withdraw your consent, you can simply contact us at dsgvo@industriemedien.at.

9. right of appeal to a supervisory authority

WEKA Industrie Medien is subject to supervision by the data protection authority (www.dsb.gv.at) to which you have the option of lodging a complaint in the event of a breach of data protection standards.
